[A] Budget: Looking for Proposal
[B] Scope of Service:
Vendor needs to provide audio visual services to the government authority located in Columbus, OH.
- CONTRACTOR will provide one (1) AV set per breakout room with the conference utilizing twenty-five (25) room,
- Learning Room – Breakout room specially equipped by the client for distance learning event,
- Large Breakout Room, typically 6000 Sq. Ft.
- Next Gen Learning Area – A constructed classroom, approximately 600 Sq. Ft., located in the Exhibit
Hall.
- General Session, held in portion of an exhibit hall using approximately 35,000 Sq. Ft. of space
including audience and backstage areas.
- Digital Signage System.
- Additional Equipment.
- Speaker Ready Area, location to be determined.
- Radio Communications.
- Exhibitor Audio visual Orders.
- Provide initial stage and set design of the general session room within 2 weeks of execution of the
Contract.
- Provide final stage and set design of general session room by December 19, 2018.
- Provide general session room drawings to the OETC staff and the designated conference venue
staff by the last week of December prior to the conference.
- Participate in an event script meeting in early January prior to the conference.
- Provide final electrical needs and rigging call needs to the OETC staff by early January or a date.

- Provide OETC staff with final event order by January 24, 2019.
- Participate in a final event script meeting two weeks prior to the conference.
- Participate in the on-site venue Pre-Convention Meeting one week prior to the conference.
